NOTE: This form is not for FOOD VENDORS. It is for Craft Vendors only. Food Vendor Form will be online soon.

Thanks for taking the time to apply as a vendor at Westfest. We will make sure we review every submission we get. 

Please read the Westfest Marketplace Rules and Regulations shown below. Then fill in the details that follow.

Westfest Marketplace (Arts & Crafts) Vendor Application 2024

Saturday, August 31 2024 --  11am-10pm
Sunday, September 1, 2024 -- 11am-9pm

• If you have any questions or concerns, please contact the Arts and Crafts Manager by email at marketplace@westfest.com.

• This is an outdoor event, please plan accordingly.

• Approved repeat vendors will be able to secure their requested space with approved application and payment made by July 1, 2024. New vendors will need to provide payment within 3 weeks of acceptance in order to secure a space.

•"Westfest" and the Westfest logo are not for use by any vendor without written permission from the Westfest Board of Directors.

• All vehicles must be off the grounds by 4pm Friday and moved to designated parking areas. Vehicles will not be allowed back onto the festival grounds until Midnight Sunday.

• Food vendors will be inspected at 2pm Friday and 8am Saturday. You must be in your booth for inspection.

• A temporary McLennan County food handlers permit can be obtained at the Public Health District 254-750-5464/ ENVHealth@ci.waco.tx.us. (REQUIRED)

The Westfest Board of Directors reserves the right to remove unapproved items.

NOTE: Booths are approximately 10ft x10ft or 20ft x 10ft and located in a large tent. No A/C Units or generators are allowed. Vendors must  provide all their own tables, chairs, fans, displays, and fixtures.

Each booth is equipped with electricity, 500 watts of power. One plug per booth.

You may bring a floor covering to put over the grass to keep dust down.

You must keep your products within the confines of your space.

You must be open during Marketplace Hours. Friday is optional.

You must sell a product, no catalog displays.

No dogs allowed

Admission Tickets: 10ft x 10ft Booth space will receive 2 3-Day Tickets.  20ft x 10ft Booth Spaces will receive 4 3-Day Tickets. Tickets will be sent to you by email. 

Parking Stickers: 10ft x 10ft Booth space will receive 1 parking sticker.  20ft x 10ft Booth Spaces will receive 2 parking stickers. Parking stickers will be sent by US Mail prior to the festival. PLEASE NOTE: Parking stickers must be attached to the inside of your windshield to be valid. Holding the sticker in your hand and showing it to the parking attendant will not be acceptable...NO EXCEPTIONS.

Setup: 7am Friday - Please come to the office adjacent to the craft tent to check in with the Arts and Crafts Manager. You are asked to be considerate of others and are asked to unload your products, then move your vehicle into the parking area. Trailer parking is provided. All vehicles must be off festival grounds by 4pm on Friday. For the benefit of previous vendors, gates will open at 7a.m. on Friday and will be manned. Once open, you will have to exchange your tickets for armbands at the gate and will need your parking sticker in order to enter the festival grounds after 7 a.m. 

Tear Down: You may not start tearing down your booth until 9pm Sunday. Please be prepared to carry your products to the parking area. Vehicles may be pulled onto the grounds when the festival closes at midnight.

Security: Security will be provided Friday and Saturday night.. Westfest, Inc will not be responsible for loss or damage caused by acts of God or any other causes beyond reasonable control.

Sales Tax: Sales tax numbers are required. Vendors will not be allowed to participate without providing a valid Sales Tax Exemption Form. Please attach a copy of your Sales Tax Exemption Form.
