Food Vendor Rules and Regulations
1. Booth should be constructed and set-up by 12:00 p.m. Friday, August 30, 2024 and must be open by 5 p.m. Friday, August 29, 2024 and remain in operation until 11:00 p.m. On Saturday, August 29, 2025, booth must be stocked by 10:00 a.m. and remain in operation until 11:00 p.m.. On Sunday, August 31, 2025, booth must be stocked by 10:00 a.m. and remain in operation until 11:00 p.m.
2. Westfest, Inc will provide a sales summary sheet to each concessionaire for each day. The sales summary sheet must be turned in to the Directors Office by the end of each day of operation and 30% of gross sales will be paid to Westfest, Inc. at that time.
3. An appropriate banner or sign will be on booth advertising products as a Westfest product. Lettering below such advertising may reflect the owner producing the product.
4. Soft drinks will be reserved for school groups. Bottled water is reserved for the Library Association. All concessionaires may sell teas or lemonades in Plastic cups only. No Styrofoam cups are allowed.5. Concessionaires are responsible for a trash container within the booth and for keeping area clean. All liquids must be removed from grounds in suitable containers. DO NOT POUR IN TRASH CANS OR DUMPSTERS, CAUTION: DO NOT DISPOSE OF LIQUID WASTE ON WESTFEST GROUNDS.
6. Booth space is 10' x 10'. No booth or equipment may extend beyond these limits. Any special requirements should be noted below.
7. Westfest, Inc. will supply booth space, parking, and admission passes at no charge to concessionaire. Admission Passes will be sent by email to the main Vendor Contact. A parking sticker will be physically given or sent by US MAIL. 8. Concessionaires agree to abide by health requirements as set forth by the McLennan County Health Department.9. Concessionaires agree to hold Westfest, Inc. harmless for any accident or injury that may occur during the dates set forth above.10. Concessionaires agree to have all equipment removed from the Westfest grounds by 2:00 p.m. Monday, September 2, 202411. Concessionaires agree to provide liability insurance overage for the event.,12. As a Westfest concessionaire, you are authorizing Westfest to use your name, as well as any photos taken in previous years, for advertising purposed related to Westfest.13.Concessionaires must get a temporary food permit from the McLennan County Health Department. 254-750-5464.14. Ice will be available for purchase.15. Booths will be periodically checked during Westfest for cleanliness and food service. If booth is in violation, a warning will be issued. If not complied with, the violator will not be asked to return the following year.16. In order to accommodate the admission needs of your booth personnel, Westfest will provide the following admission and parking passes: For single booth - 4 Friday Admission Passes, 8 Saturday Admission Passes, 8 Sunday Admission Passes and 2 Parking sticker.
Admission Passes will be sent by email to the main Vendor Contact. A parking sticker will be physically given or sent by US MAIL.
PLEASE NOTE: PARKING STICKERS MUST BE ATTACHED TO THE INSIDE OF YOUR WINDSHIELD TO BE VALID. SHOWING THE PARKING STICKER TO THE PARKING ATTENDANT WILL NOT BE ACCEPTABLE THIS YEAR AND YOU WILL BE DIRECTED TO PAID GENERAL PARKING. YOU MAY NOT MOVE PARKING STICKERS FROM ONE VEHICLE TO ANOTHER.
17.. Fire regulations require all booths to have fire extinguishers fully charged and in operable condition.
